Rough WorkAutomations

Workflows

Rough Work Automations implements six core workflows for HVAC and plumbing businesses. Each workflow targets a specific operational gap where jobs, leads, or revenue are being lost.

After-Hours Lead Capture

What it does:

When the office is closed or the line is busy, the AI agent answers and captures caller name, phone number, ZIP code, service type, urgency, and preferred callback window. A clean lead list is delivered the next business morning.

Why it matters:

Many HVAC and plumbing jobs are won by whoever responds first. If nobody answers, the customer usually calls the next company.

Missed Call SMS Recovery

What it does:

Every missed call triggers an automatic text within 60 seconds.

Why it matters:

It keeps the lead warm while competitors are still silent.

SMS Template

"Hi, this is [Company Name]. Sorry we missed your call. Reply with your service need and ZIP code, and our team will follow up shortly."

Lead Qualification & Dispatch Handoff

What it does:

The AI system gathers basic information and routes it cleanly for the office team: HVAC or plumbing, emergency or non-emergency, location, new or existing customer, and requested timing.

Why it matters:

This reduces back-and-forth and helps dispatch prioritize.

Routing criteria:

  • HVAC or Plumbing
  • Emergency or Non-Emergency
  • Location / ZIP
  • New or Existing Customer
  • Requested Timing

This workflow is included in the Service Workflow Build and Ongoing Optimization.

Estimate Follow-Up Automation

What it does:

When a quote has been sent but not accepted, the system sends automated follow-up messages over a set time window.

Why it matters:

A large amount of revenue sits in open estimates that never get followed up properly.

Follow-up sequence:

Day 1

"Just checking that you received your estimate."

Day 3

"Do you have any questions before moving forward?"

Day 7

"Would you like to schedule the work?"

This workflow is included in the Service Workflow Build and Ongoing Optimization.

Appointment Reminder & ETA Communication

What it does:

Customers receive reminders before appointments and optional technician-on-the-way updates. This reduces no-shows, missed access, and scheduling confusion.

Why it matters:

No-shows and missed access waste technician time and revenue. Proactive communication builds trust and reduces cancellations.

This workflow is included in the Service Workflow Build and Ongoing Optimization.

Review Request & Reactivation

What it does:

After a completed job, customers receive a review request. Older customers can also receive seasonal reactivation outreach such as HVAC tune-up reminders or plumbing maintenance check-ins.

Why it matters:

Reviews drive local search rankings. Reactivation turns past customers into repeat revenue without acquisition cost.
